Checklist: How to Choose a VoIP Provider For Your Small Office, Home Office Business (SOHO)

Once you’ve decided to use VoIP for your Small Office Home Office, it’s time to get set up. You’re probably keen to get going, find a VoIP provider, and start saving money on phone calls. It’s a good idea, though, to take a little time to consider some of the points on this check list. That way, you can be sure you’ve chosen the VoIP provider that’s best for you, and best for your business.

Who are the best established VoIP providers?

VoIP isn’t new technology, as such, and though broadband telephony is likely to become the way we all make telephone calls, you want to be sure that your provider is reliable and experienced.

What’s your existing broadband infrastructure?

Make sure you know how your existing broadband works. Is it cable (eg Virgin)? If so, you could cancel your cable telephone line entirely without affecting your broadband connection. If it is ADSL (eg BT), however, you can’t cancel your phone line because you’ll lose your broadband, too. You can, though use a VoIP phone line as your second phone line which you could use to make your business calls.

Do you need just one line, or two?

If you work from home, either all the time or part of the time, you may want to separate business from private telephone calls, so a second, cheap VoIP phone line might make more sense, especially if your business is growing or likely to grow.

What features will help?

Call plans.

As well as the advertised monthly call plan, make sure you know exactly what else you might have to pay for. The VoIP provider may, for example, charge a set-up or administration fee, a line activation fee, a cancellation fee. There may be charges for equipment, too, though some of it may be free.

Is the VoIP’s website clear?

You don’t want to have to root through a website to discover hidden charges and the small print. A well written, professional, clear website, with all the charges clearly set out, is a sign that the VoIP provider is committed to professional transparency.

What’s the support like?

A phone line is one of the most crucial elements of any SOHO. So it’s a good idea to make sure that the VoIP provider offers technical support and customer service 24/7. Can you always get hold of someone if you need to? Do you have to pay for this?

What add-ons do they offer?

If or when your business starts to grow, can you adapt your VoIP phone system accordingly? Find out whether the VoIP provider offers add-ons such as a second phone line, a fax line, or the ability to make calls from your laptop.

Can you keep your number?

If you’re starting up in business, it may make sense to get a whole new business number. But if customers already use your landline number, you may want to keep that. Check that the VoIP provider offers the option of ‘porting’ your existing number to your new VoIP phone provider.

Can you choose a dialling code?

You may want a VoIP telephone number that’s local to you. Or you may want one that’s local to your customers. Either way, find out what the VoIP offers in terms of choosing dialling codes, and check that the code you want is available.

What about emergencies?

A final important consideration is to think about how your business would cope if your broadband connection went down. If that happens, and your VoIP telephone is temporarily out of action, you need to make sure you have a back-up plan (such as a mobile), particularly in case of critical business calls or even calls to the emergency services.

Ubuntu Linux is Prime Time for your Business Desktop and Notebook Computing Environment

As a business consultant, web designer and photographer my technical know-how around doing system administration on my Microsoft desktop is limited and sometimes I do require the assistant of my computer engineering son to get it right. In a Microsoft Environment, keeping updated with respect to potential security breaches and patches is a constant vigil. The rigor of keeping current with OS updates, Norton updates and Spyware updates is time consuming. Valuable business hours each week are spend and lost on this task of self-administration dictated by the Microsoft Operating Environment.

So with the purchase of an IBM T40 (a tough notebook), increasing system administration time was not an option. This alone forced an serious consideration of Linux as an alternative operating environment. That was five years ago. Now an established Linux user, I can clearly profess the capabilities and benefits of Linux for small and large businesses, especially, when it comes to notebook deployment.

What Linux variant is best for small business and notebook deployment in your company?

As a small and medium business development manager with Sun Microsystems, exposure to Linux and the debate around its viability was a daily event. Questioning and challenging the virtues of Open Source (FREE) Linux versus Licensed Linux versions like Red Hat and Novell SuSE continues to this day . After years of personal use of Open Source (Free) Linux, I can never go back to running the Microsoft Operating Environment on my notebook. And once you can get Linux versions of Quick books, Quick Tax and Picasa (now available on Linux), there is no reason to stay in that perpetual administrative nightmare world of Microsoft.

Having successfully deployed two Open Source Linux variants on my IBM T40 notebook over the last 5 years, a compelling comparison can be made between Fedora and Ubuntu. Fedora, the Open Source version of Red Hat, required the installation expertise of some Linux gurus from Belleville Ontario. It worked fine, but required some Linux ninja system administration every 6-9 months. Administration items applied during these visits included upgrades to Open Office (the open source version of Star Office), Linux OS fixes and new peripheral drivers. This, again, turned out to be a drain on my scarce time for doing real business.

Now the Linux called Ubuntu is installed on my notebook. Ubuntu by Canonical is a full Open Source Linux based on Debian Linux. Ubuntu is now available on Dell systems and Federal Governments are adding this Linux operating environment to their list of standard available OS’s for all desktop and notebook computers.

Right out of the gate, Ubuntu was simple to install. You could even bring down a trial copy to experience exactly how it would behave on your notebook before downloading and committing the Ubuntu OS environment to your machine. But the best part is that Ubuntu continuously keeps on top of OS and all related application software updates. Ubuntu has an Update Manager that magically appears in desktop tool bar. And with a simple click (and password) you are kept current on the latest versions of Ubuntu patches, any Linux application software you have installed from Canonical and Open Office upgrades.

With Linux rebooting your machine after an update is nearly non-existent.

Oh, as an added treat with Ubuntu, Ubuntu boots up on your machine in less than a minute. I still go get a coffee when my Microsoft desktop is booting up. An additional benefit of Ubuntu: there is no requirement for installing ant-virus and anti-spyware software. Ubuntu inherently repels these vial scourges of the internet.

With Ubuntu your system administration life will become simple and painless. You can spend more quality business hours selling and marketing.

How Can VoIP Support Small Business Growth

Here’s the question …. how can you convince your management that a VoIP solution will support your small business?

The best argument for VOIP is lower communication costs … but it’s not the only reason.

I would suggest using hybrid solutions. Where the bulk of communication, voice, and video are done through VOIP …. and emergency services “fall back” in case of Internet fail is done with minimal classical PSTN solutions.

When I say VOIP from now on I mean 90 % VOIP and some minimal PSTN add-ons.

Why VOIP?

1- Lower communication costs ….

While this is basically clear it still needs to be demonstrated. Assume you have a company that most of its calls are from “overseas” to the USA and vice versa.

You need to get the cost of all such calls currently on one side …. and then compute what would be the cost in case all Intercontinental calls went through a VOIP system.

Now you have the number of calls * local call quantity* local call cost.

You can compare the costs in both situations.

a. I would take the worst case scenario where none of the calls in either side ends in a VOIP end station like Packet8. To make the comparison complete you should add all static costs as well: equipment cost, support cost etc.

b. Simply compare the price of adding a 2MBPS PRI line to increasing your company’s Internet connection BW by 2 MBPS. That will show a lot to VOIP’s favor.

c. Long distance calls are severely affected by duration of the call. While local calls and VOIP goes into the PSTN, are much less affected by the duration. In some places in state calls are not charged individually but a monthly payment is done.

d. Equipment cost per end station is lower. While this is almost always true you need to prove that too by talking to a VOIP equipment provider, for example AVAYA, Cisco, NORTEL. And comparing the prices in both instances.

2. Adding new features to an existing PBX is messy most of the time …. while adding new features, capabilities and capacity is easy in VOIP.

3. A unified communication that has VOIP and IP running on the same enterprise infrastructure is easier to manage …. but of course needs more expertise.

4. You can have ‘local’ numbers anywhere a VOIP provider has a presence. Want to establish a presence in another state or country – start with a VOIP number in the new location that is answered by an existing office.

5. It allows you to virtualize your office. For example, a company provides after hours customer support by employing people to work from home in four time zones. VOIP allows the company’s PABX to be extended cheaply and easily into their home … even though they are in different countries and serviced by different telcos/ISPs.

6. Besides lower costs in contrast to PSTN, VoIP services provide better roaming, a possibility to quicker office relocation and total independence from local telephone companies (meaning that in theory you can buy VoIP services from any service provider on the globe). With VoIP services you can build a PBX which serves the same voice services to all employees around the globe thus making it possible to build virtual offices. You can also easily integrate voice, e-mail and presence services with VoIP technologies.

7. More advantages include …. Ubiquity through Unified Messaging, phone mobility, geographic growth through MPLS networks using centralized services, 50% less cabling in LAN, use a portable with VoIP Client plus headsets and digital/voip phones cease to be necessary, corporate voice can go through a data MPLS network, you can receive calls over the internet on your contact center.

Keep in mind that while trying to convince your company to favor a VOIP solution … it is also important to be open and explain all the pros and cons, everything.

* Quality of voice is similar to regular PSTN solutions but not exactly the same as POTS. It might be undiscernibly but still some difference exists. How close the quality of VOIP depends on how well your company’s infrastructure is ready for VOIP, how good an SLA (Service Level Agreement) you have with you Internet Service Provider.

* When the Internet is attacked intentionally or unintentionally all VOIP equipment, end points, VOIP phones will be affected. It is very rare that a PSTN system is brought down except when a catastrophe happens and everyone is trying to call everyone.

* Voip gained such a bad reputation over the last few years, as everyone still keeps talking about low call costs and free calls. VoIP is a reasonable cost installation but not Cheap at least if you use decent kit. If you try and do everything on the cheap then you get bad call quality etc and loads of hate mail from management.

There you go … most everything you need to develop a strong argument for implementing a VoIP solution in your company. Using Texas VoIP Technology for Your Business Needs

VoIP in Texas is becoming a growing trend in the recent years. Since 2004 the trend has skyrocketed not only among Texas VoIP subscribers but all around the country. Texas has and will remain to be a trend setter for the rest of the country since it is such a large state and very populated.

VoIP stands for Voice over Internet protocol. VoIP allows users to have normal phone access through an internet service provider but still use regular phone networks. However, with emerging technologies such as Wi-Fi and WiMax it’s predicted that those new technologies will allow VoIP’s to be more mobile, universal, and more widely accepted.

Some Texas VoIP subscribers that are larger companies struggle with the problem of highly congested networks. Since VoIP is so easy to add lines to and expand the network it opens up the problem of momentary voice drop out and lower voice quality due to lost or delayed data packets. As technology advances though this problem will continue to diminish.

Although there are still some bugs to work out for VoIP’s in Texas, the convenience and cost effectiveness of the technology out weighs the downside for most Texas VoIP users.

Passwords Don’t Have to Threaten Business Security

The emergence of the World Wide Web as a global, around the clock marketplace has opened a multitude of new opportunities to businesses which have never before been seen. Computers and global communication networks have brought vendors, customers and markets together in new and beneficial ways. Along with all of the benefits which business has gained from the information age come some downsides. New crimes have not been created by new technology, but rather new technology has given new tools to criminals to commit the same crimes as they always have. The difference is that criminals now have a global reach, just as businesses do. In the U.S. at least, the responsibility for protecting consumers from having their personal information pilfered is placed upon businesses.

While some will blame the computer itself for crimes involving identity theft, it is usually not the computer but rather the way in which the victim has made use of it which is at issue. Their lack of attention to network and computer security has offered access to criminals – right into their home or business. After all, if we never lock our doors, would we blame the contractor who built our home for a burglary? In a corporate environment, it is typically employees, including IT staff who are really at fault.

About 70% of data breaches at businesses can be laid at the feet of people within the company. Employees using weak passwords or making the egregious mistake of writing down their passwords in plain view allow unscrupulous employees and others easy access to company information. Employees know that the quickest way to find a password is to sit at someone’s desk; quite often, employees will tape passwords on notes on the monitor, to the desk (or underneath it) or in desk drawers, often simply labeled “passwords” or worse yet, on the desktop of their computer in an unencrypted document. Keep in mind that if a security breach happens through the use of a legitimate user name and password, it is very difficult for your IT staff to catch. Poor password management on the part of your employees can give criminals complete access to sensitive corporate data.

IT departments try to reduce the risk of data breaches through the implementation of stronger security policies. There are six basic rules of password security which they commonly use. These are:

LENGTH – Passwords should always be at least eight characters long. The longer, the better as long as you can remember your password.
RANDOMNESS – A password should be difficult to guess. Use combinations of numbers and letters; words, dates and so on.
COMPLEXITY – Employ a mix of numbers, punctuation marks and lower and uppercase letters in your passwords.
UNIQUENESS – Use a unique password for each user account.
ROTATION – Passwords should be changed every two to three months.
MANAGEMENT – Never let anyone see your password. And never, ever write it down.

The conflict which is going here is between IT departments and other employees. As IT departments make security measures more complex and difficult for employees, they use weaker security habits to increase the ease of access for themselves. Employees will nearly always forgo security for the sake of convenience.

One way to avoid this conflict is to adopt token based password management. These sorts of systems include:

Security:
o PIN protected smartcards which lock data after a predetermined number of failed attempts at access.
o Passwords are never stored in computers, where hackers and snoopers can find and use them.
o Passwords can be as long as 20 characters, with all 96 possible characters on the keyboard being available to use.
o Each website, encrypted file and network can (and should) have its own unique, complex.
o Since your passwords are never typed in, a keylogger cannot record them.
o The card can be encrypted so that only the software used to manage the cards can access the data on them.

o Users never have to remember (or type)passwords.

o Smartcards are ideal for employees who work remotely but need secure access to the company network.

It takes more than just a password to make your network secure, but with the use of security tokens, passwords are no longer the weakest link in a company’s security scheme. Tokens have been developed by security companies for a variety of different applications – companies can evaluate these offerings on the basis of form, usability, the amount of modifications which will be required in their infrastructure, ease of installation and of course, cost. Some smartcards offer advances security but also mean that a lot of back-end server work must be done in order to implement them. Others are easy to set up and use, but are a risk if they are lost or stolen.

Business owners are required by the Privacy Protection Act to keep customer data secure. While no one security measure can provide total security, proper password management should be part of every company’s overall security strategy.
